What we hold, and why.
Accounts and licences
Your email, verification status, licence and expiry, random installation/device identifier, app version and activation records let us send your licence, check your device allocation and help with support. Beta sign-in is passwordless. We do not inspect your files or screenshot content to validate a licence.
Basic website use and security
We record IP addresses, requested pages, times, referrers, browser details and basic clicks or active time to understand how the site is used and keep it safe. These are private operational records, not advertising or cross-site tracking. IP addresses are not a reliable count of individual people. The public website does not set cookies. The private administrator portal uses a strictly necessary sign-in cookie to protect administrator sessions; it is not used for visitor advertising or profiling.
Feedback you choose to send
Beta is a chance to help improve the latest release. We receive only the report and images you submit, with your verified email, app version and receipt time. The full text and attachments are emailed to beta.snipmaker@entiserve.com for the authorised beta team. A separate thank-you goes to you. Remove passwords, licence keys and other people’s confidential details before sending. Image metadata is removed, but visible personal information in an image is not automatically anonymised.
Referrals
When you use Refer & Earn we record your code, terms acceptance, account attribution, qualifying payments, credit entries and necessary abuse checks. This lets us allocate and honour rewards fairly. We do not ask for friends’ email addresses or send invitations on your behalf. Referral details travel in the link until signup; no referral cookies or browser storage are used.
Email delivery
Zoho ZeptoMail delivers verification, licence and service emails. Zoho Mail receives team feedback and support messages. They process the addresses, message content and delivery details needed for those services. SnipMaker’s application services run on our hosted infrastructure with OVHcloud.
Keep less. Keep it only as long as needed.
Information is kept for the service, support or legal purpose it serves — not collected “just in case”. Ask us when you need your information reviewed or removed.
Feedback
Encrypted server copies are removed after 180 days. Team mailbox copies must also be reviewed and deleted within that period, unless an unresolved support matter or legal obligation requires longer retention. Email cannot be recalled after delivery. If we keep a general improvement note, we remove identifying details; if text or an image cannot be reliably anonymised, we delete it rather than call it anonymous.
Account and licence records
We retain records while your licence or benefits are active and for limited support and security needs afterwards. Expired verification links are removed after a short recovery period. Beta-only licence records are normally removed a year after expiry; accounts connected to outstanding referral rights or another active service may need longer retention.
Referrals and website logs
Referral records are retained while needed to honour credit, handle refunds or disputes and meet applicable financial-record duties. We review identifiers for removal when those purposes end. This review is not an automatic wipe of the financial ledger. Raw website logs are rotated. The private administrator report keeps an encrypted snapshot of up to 90 days of retained SnipMaker page activity, with IP addresses, browser details, timestamps and approximate visitor categories. Snapshots are refreshed every two minutes and excluded from public pages. A snapshot may contain less history where source logs or scan limits provide less data. Non-identifying summary statistics may be retained longer.
Updates and private administration
The application checks the installed version against our published release. An update download uses the existing device activation token; screenshots, annotation text and library contents are not sent. The update process saves open work and keeps your local library, settings and licence files separate from the application files being replaced.
Authorised administrators sign in with a password and an authenticator code. We retain encrypted administrator details, short-lived session records, and audit records for licence and website-copy changes. Security and copy audit records are limited to one year, with a bounded history; credentials and authenticator codes are not included in audit logs.
Security and your choices.
Online licence and feedback connections use HTTPS with certificate and hostname checks. Email addresses and feedback are encrypted in private server storage. Activation tokens are protected on Windows. These safeguards reduce risk; no system can promise that a breach is impossible.
We use information to provide the services you request, and legitimate interests for proportionate security, support and basic site improvement. Where consent is needed, we ask first. The feedback form confirms exactly what you are sending.
You may have rights to access, correct, erase, restrict or object to processing, and to receive a portable copy where applicable. Email support.snipmaker@entiserve.com with a privacy question or request. You can also complain to the UK Information Commissioner’s Office.
